Annual General Meeting – Melbourne – 16 September

Join us on Sunday 16 September for our Annual General Meeting, followed by a Browncoat Crafternoon! Our AGM is when we give our members and those in the Browncoat community a chance to have their say on the direction of our club in person, and provide feedback to the committee on the past year and for the year to come. We’ll also be holding elections for the incoming executive and general committee (must be a financial member to be able to vote, but all are welcome to view proceedings).

As our club is entirely organised by volunteers, we’d love to see more of our members getting involved in the decision making and planning as more hands on deck means more Firefly fun for everyone! You can join the crew as an Ordinary Member of our Committee of Management, which is a great way to get your feet wet and help out, or nominate for an Executive position (President, Vice President, Secretary, Treasurer). We’re also in need of volunteers to help out with events and at conventions, so please let us know if you can lend a hand.

The AGM Order of Business will be as follows:

  • Presentation and acceptance of 2017 AGM minutes
  • Presentation and acceptance of Annual Financial Statements FY 2017/2018
  • Committee of Management Elections – All positions are up for re-election! Please consider running for one!!
    a. Positions of 2017/2018 Committee of Management declared vacant
    b. Nominations and Elections for 2018/2019 Committee of Management (President, Vice President, Secretary, Treasurer, Ordinary Members)
  • Confirm or vary annual subscription fee
  • Discussion of Plans for 2019
  • Charities for 2019
  • Calendar of Events for 2018/2019

The future of the New Melbourne Browncoats relies on the input of its members, so we are looking forward to seeing many faces at the AGM. For those who cannot attend, information regarding proxy voting is below. Quorum for the AGM is 10% of the members entitled to vote, being a minimum of 9 members (either attending in person or assigning a proxy). We’d love to have more than the quorum though to ensure our membership’s wishes are reflected in group decisions and plans, so please come along and make your voice heard.

LOCATION & TIME:
Kathleen Syme Library & Community Centre, Multipurpose Room 1 (251 Faraday Street, Carlton VIC 3053). The venue is accessible via a ramp and steps, and toilets are located on both floor levels.

Doors open @ 1:00 pm. The AGM will run from 1pm, with our Crafternoon commencing at 1:30pm. Stick around after the AGM and get crafty at our Firefly inspired Crafternoon! The Crafternoon runs until 4pm and will only cost you $10 (to cover materials). You’ll get to do a bunch of different Firefly inspired crafts, including fan painting, make a Serenity ornament and more! Tea and coffee provided as well as some snacks (no additional cost).

NOMINATE TO JOIN THE COMMITTEE OF MANAGEMENT:
If you are a current financial member and would like to join the Committee of Management, we’d love you to nominate for a position. Committee Nomination Forms can be sent to the Secretary by email (secretary@newmelbournebrowncoats.com) or post (New Melbourne Browncoats, PO Box 18, Rosanna VIC 3084), to be received by 11.00pm on Friday 14 September, or deliver in person to the Chair prior to the election. You can also nominate in person verbally immediately prior to the election (where you will need a second to approve the nomination). PROXY VOTING INFORMATION FOR MEMBERS:
If you are a current financial member and are unable to attend in person to vote, we encourage you to assign a proxy (another member) to vote on your behalf (if you’re not sure who to grant your proxy to you’re welcome to assign it to the President or Secretary). The Proxy Assignment Form can be sent to the Secretary by email (secretary@newmelbournebrowncoats.com) or post (New Melbourne Browncoats, PO Box 18, Rosanna VIC 3084), by 11.00pm on Friday 14 September. Proxy forms received after this deadline cannot be actioned, unless submitted in person by the person you’ve assigned as proxy (a hard copy of the original signed form is required in this instance).
